This Privacy Policy explains how we collect, use, store, and safeguard the information you provide when interacting with our website and services.

We collect only the information necessary to provide our itinerary planning services.
Information you provide directly:
- Identification Information — your name and email address.
- Travel Information — destinations, travel dates, pace preferences, interests, budget, dietary considerations, cinematic vision, and emotional goals submitted through our intake form.
- Communication Information — messages or correspondence sent to us by email.
Derived intake analytics we collect automatically at submission:
- Form completion time — how long the intake form took to complete.
- Field word counts — word counts for open-text fields such as past travel experiences and cinematic vibe, used to assess response depth.
- Optional field completion rate — how many optional fields were meaningfully completed.
- Intake quality score — a composite score derived from the above fields, used internally to assess itinerary generation quality.
These derived fields are used solely for service quality purposes and are not shared with third parties for marketing.
We do not collect or store sensitive payment information such as full credit card numbers.
2. How We Use Your Information
We use the information we collect for the following purposes:
- Service Delivery — to design, generate, and deliver your custom travel itinerary.
- AI-Assisted Generation — your intake responses are processed by an automated pipeline including AI language model technology (Anthropic Claude API) to produce your itinerary. See Section 4 for full details on technology providers.
- Customer Communication — to send purchase confirmations, itinerary delivery, and responses to inquiries.
- Service Improvement — to improve our curation methodology, intake design, and output quality using anonymized and aggregated intake analytics.
- Optional Marketing Communications — to share curated travel inspiration or service updates. You may unsubscribe at any time.
- Compliance & Chargeback Defense — purchase consent, timestamp, and agreement data is retained in our systems to support dispute resolution if required.
We do not sell, rent, or trade your personal information.
3. Payment Processing
Payments are processed through Stripe's hosted checkout page. When making a purchase, you provide payment information directly to Stripe — The Itinerary Architect does not collect, store, or have access to your full payment card details.
Your payment is subject to Stripe's privacy and security practices. Stripe records your agreement to our Terms & Conditions at checkout. We retain a log of this consent event — including timestamp and agreement confirmation — in our systems for chargeback defense purposes.
4. Technology Service Providers
To operate our services, we rely on trusted technology platforms that may process or store limited customer data on our behalf. These providers only process information as necessary to perform their services and are not permitted to use your information for unrelated purposes.
- Squarespace — website hosting and form submissions.
- Stripe — payment processing and checkout.
- Zapier — workflow automation connecting intake data to our fulfillment pipeline.
- Google Sheets — temporary storage of intake data during the fulfillment process. Intake rows are deleted after your itinerary has been successfully delivered.
- Anthropic (Claude API) — AI language model that processes your intake responses to generate your custom itinerary. Data is processed in accordance with Anthropic's API data handling policies.
- PDFMonkey — automated PDF generation for itinerary formatting and delivery.
- Google Workspace (Gmail) — email communications and itinerary delivery.
- Google Drive — secure document storage for generated itineraries.
5. Email List & Marketing
We maintain a master email list for customer communication and marketing purposes. This list is intentionally minimal — it records your email address, name, opt-in date, and behavioral tags (such as destination and experience tier) derived from your intake data at the point of purchase.
These tags are used for relevant campaign segmentation — for example, sending destination-specific inspiration to travelers who have shown interest in that region. Tags are never used to build profiles for third-party advertising.
You may unsubscribe from marketing emails at any time using the link in any email we send, or by visiting www.the-itinerary-architect.com/unsubscribe. Unsubscribe requests are logged with a date and the record is retained for compliance purposes — it is never deleted.
6. Cookies & Analytics
Our website may use analytics tools, including Squarespace Analytics and Google Analytics, to understand how visitors interact with our website. These tools may collect anonymous information such as pages visited, time spent on pages, referring websites, and device and browser information.
Analytics data does not identify individual travelers and is used solely to improve our website and services.
7. Affiliate Links
Some recommendations in our itineraries may include affiliate links to partners such as Booking.com and Viator. If you click an affiliate link and make a reservation, the booking occurs directly with the third-party provider.
The Itinerary Architect does not share your personal travel information with affiliate partners. We encourage you to review the privacy policies of any external sites you visit.
8. Data Security
We take reasonable administrative and technical measures to safeguard your information from unauthorized access, disclosure, or misuse. However, no internet transmission or electronic storage system can be guaranteed to be completely secure.
9. Data Retention
We retain personal information only as long as necessary for the following purposes:
- Intake data — retained in our fulfillment pipeline during itinerary generation and deleted from working storage once your itinerary has been successfully delivered.
- Itinerary and delivery records — retained as your delivery record and for business purposes.
- Email list records — retained indefinitely to honor unsubscribe requests and maintain compliance. Unsubscribe records are never deleted.
- Payment consent logs — retained for chargeback defense and legal compliance.
10. Your Privacy Rights
Depending on your location, you may have the right to request access to, correction of, or deletion of personal information we hold about you. To submit a request, please contact us at hello@the-itinerary-architect.com. We will respond within a reasonable timeframe.
11. International Users
The Itinerary Architect operates from the United States. If you access our services from outside the United States, you acknowledge that your information may be transferred to and processed in the United States, where privacy laws may differ from those in your jurisdiction.
